If you have given us your consent to receive communications by email, have been or will be a funder of ours – or you have previously asked us for information, we may send you newsletters or funding information by email.  However, every newsletter or information email message we send you, we will give you the opportunity to unsubscribe from our mailings altogether.

Who is HopScotch Children’s Charity?

HopScotch is a long-established charity providing free and truly memorable respite breaks for disadvantaged children aged 7-11 years living in Scotland. Ardvullin, HopScotch’s Centre is situated in Ardgour and 350 children per year experience a fun, educational and inspiring break where they can fulfil their potential. HopScotch’s annual programme runs from March to November.

We provide children with a week full of wonderful experiences, ensuring they are fully supported to make the most of their holiday. We believe that good childhood memories last a lifetime, and it is our goal to help every child return home with lots of amazing memories to build upon.

What do we collect and what do we need your personal data for?

 

Category 1 – Children’s Information

We may collect the following information

  • name
  • contact information, parent/guardian contact information
  • date of birth
  • demographic information such as postcode
  • ability/consent to take part on activities
  • permission for photographs
  • ethic background

We require this information to understand the child’s needs and provide a Hopscotch break, and for the following reasons:

  • In the event of an emergency/accident
  • Plan the activities provided during the break.
  • To give supporters statistical information.
  • Internal record keeping if the child has previously been on a HopScotch break.
  • We may use the information to improve our services

Category 2 - User Organisation

We may collect the following information:

  • name and job title
  • contact information including email address
  • demographic information such as postcode, preferences and interests 

We require this information to provide a Hopscotch break, and for the following reasons:

Category 3 – Supporters

  • Subject Access Request: You may request details of personal information which we hold about you under the Data Protection Act and a small fee will be payable.  If you would like a copy of the information held on you please write to: HopScotch Children’s Charity, 42 Silverknowes Road, Edinburgh, EH4 5LF.
  • Data Portability: You can ask us to provide your personal information about you that we have which you had provided to us in a simple, easily readable way. You may ask us to transmit it directly to another controller if it is technically feasible.
  • Correction: If you believe that any information we are holding on you is incorrect or incomplete, please write to or email us as soon as possible, at the above address. We will promptly correct any information found to be incorrect. We will endeavour to get back to you within 72 hours.
  • Deletion: Individuals have the right to have personal data erased or deleted, known as the ‘right to be forgotten’, without undue delay. You can ask us to delete (erase) any personal information for which you later withdraw your consent to processing – or when it is no longer needed for purpose it was originally collected – without undue delay.   • Processing Restrictions: You can request the restriction or suppression of your personal data although it is not an absolute right and only applies in certain circumstances. While we process your request, we are permitted to store your personal data but not use it. You can make this request verbally or in writing.   • Complaints: Our aim is to respond to any complaint around privacy matters you may have within 30 days of receipt of your correspondence.  You also have the right to lodge a complaint with the UK Information Commissioner’s Office online.

You always have the right to object to receiving direct marketing from us even if we believe that we have a legitimate interest to communicate with you in this way.

 

What about photography?

We regularly take photographs and videos for promotional purposes.  Photographs and film of children taken during their visit to Ardvullin may be used in future publicity, including printed material and websites. If you do not want your child to appear in these, you must let us know in advance of arrival to Ardvullin on our Child Application Form. We will make sure group leaders and children are aware that photos/filming is happening and in the context the photo or video will be used.  We endeavour to take photos of children on a password-protected iPhone. Images are transferred from the camera/phone to a secure location and deleted from the memory card as soon as is practical.

 

What about sensitive information?

We will not keep your sensitive data for longer than necessary.
